Atrium is seeking on behalf of our client a Student Accounts and Financial Aid Manager to join a highly regarded Pre-K through Grade 12 college preparatory school in Brooklyn, New York. Reporting to the Chief Financial and Operating Officer, this role is responsible for managing student billing, collections, enrollment contracts, and financial aid administration while providing exceptional service to students and families. The ideal candidate will bring strong financial acumen, excellent organizational skills, and the ability to manage sensitive information with professionalism and discretion.

Responsibilities

Student Billing & Account Management

  • Manage all student billing processes, including tuition, auxiliary fees, incidental fees, payments, and credits for over 1,000 student accounts.
  • Maintain accurate student account records within the TADS billing system.
  • Coordinate with internal departments regarding auxiliary and incidental billing activities.
  • Prepare aging reports and identify collection trends or concerns for leadership review.
  • Manage communications with families regarding account balances, payment plans, and billing inquiries.
  • Coordinate with external collection agencies on past-due accounts and recommend process improvements as appropriate.
  • Prepare documentation requested by families, including promissory notes, dependent care forms, and tuition reimbursement forms.
  • Generate enrollment and financial aid data for annual reporting requirements.
  • Collaborate with internal teams to prepare and distribute more than 1,200 enrollment contracts annually.
  • Process enrollment deposits and monitor contract returns and related reporting.
  • Prepare daily enrollment and re-enrollment summary reports.
  • Prepare journal entries, account reconciliations, and support annual audit activities.
  • Communicate enrollment contract terms, conditions, and related policies throughout the year.
  • Serve as the primary contact for tuition, enrollment, financial aid, and student account inquiries.

Financial Aid Administration

  • Guide more than 500 applicants through the financial aid application process and communicate documentation requirements.
  • Review financial aid applications and supporting documentation to evaluate eligibility and prepare information for the Financial Aid Committee.
  • Assess appeals and emergency aid requests, analyze supporting materials, and communicate decisions to families.
  • Track and report on financial aid awards, trends, and related analytics.
  • Serve as a liaison for financial aid-related communications across the school community.
  • Process payments to external vendors supporting financial aid programs.
  • Evaluate financial aid systems and recommend enhancements to improve efficiency and service.

Qualifications

  • Strong financial and analytical skills with the ability to identify discrepancies, maintain data integrity, and ensure accurate reporting.
  • Exceptional attention to detail and demonstrated accuracy in financial recordkeeping, account reconciliation, data management, and financial aid administration.
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, communications, and financial processes.
  • Professional demeanor demonstrating integrity, patience, discretion, and customer service excellence.
  • Strong written and verbal communication skills.
  • Outstanding interpersonal skills and ability to build effective relationships with families and colleagues.
  • Ability to manage highly sensitive and confidential information.
  • Commitment to working in a collaborative, team-oriented environment.
  • Experience working in an educational setting preferred.
  • Advanced Microsoft Excel skills, including experience with pivot tables, VLOOKUP/XLOOKUP, financial reporting, reconciliations, data analysis, and large datasets.
  • Experience with Blackbaud NXT, TADS, and Clarity preferred.
  • Demonstrated commitment to supporting an inclusive and welcoming community is preferred.
  • Must be legally authorized to work in the United States.
