Receptionist/Financial Aid Counselor

Position Summary

The Receptionist serves as the first point of contact for prospective students, current students, clients, and visitors. This role combines front desk operations with admissions support and requires strong organization, communication, and customer service skills. The position is essential to maintaining a welcoming environment while supporting enrollment, recordkeeping, and daily administrative operations.

Key Responsibilities Reception & Front Desk Duties

  • Greet all visitors, clients, students, and staff in a professional and welcoming manner
  • Answer incoming phone calls, route inquiries appropriately, and take accurate messages
  • Manage the front desk area to ensure it remains clean, organized, and presentable
  • Check in clients and visitors using internal systems
  • Monitor daily foot traffic and assist with general inquiries

Administrative & Office Support

  • File student records, client paperwork, and internal documents accurately and timely
  • Perform data entry into student management systems, CRMs, and spreadsheets
  • Scan, copy, print, and organize documents for admissions, financial aid, and compliance purposes
  • Maintain digital and physical filing systems
  • Support staff with clerical and administrative tasks as needed

Admissions & Enrollment Support

  • Serve as an initial point of contact for prospective students in person, by phone, and online
  • Collect and verify enrollment documentation
  • Schedule admissions interviews, tours, and follow-up appointments
  • Track prospective student leads and update admissions records
  • Assist admissions staff with application processing and student onboarding

Communication & Customer Service

  • Provide accurate information regarding programs, start dates, and general school policies
  • Follow up with prospective students via phone, text, or email as directed
  • Maintain confidentiality of student and client information at all times
  • Handle concerns professionally and escalate issues when appropriate

Financial Aid Duties

  • Responsible for administering student financial aid programs, processing applications, ensuring compliance with federal and state regulations, and maintaining accurate student records.
  • The role includes guiding students through the financial aid process
  • Completing all required mandatory training to remain compliant with Title IV and regulatory standards.

Qualifications

  • High school diploma or equivalent required
  • Prior receptionist, administrative, or customer service experience preferred
  • Strong organizational and multitasking skills
  • Comfortable with computers, data entry, and office software
  • Strong verbal and written communication skills
  • Professional appearance and demeanor

Work Environment

  • Fast-paced school and clinic environment

  • Requires sitting, standing, and light lifting of office materials
