The Assistant Director of Financial Aid provides administrative support to the Director of Financial Aid, completes routine administrative and managing duties, and performs duties governed generally by broad instructions, objectives, and policies involving frequently changing conditions and problems. The Assistant Director will advise and counsel students and families on general financial aid questions, procedures, and options, help determine and evaluate individual financial aid eligibility, lead financial aid presentations and work with other departments and agencies to maintain financial aid standards.This position is exempt.This position reports to the Director of Financial Aid.The selected candidate will support Burrell College’s organizational health initiatives, focusing on enhancing leadership, promoting clarity of purpose, improving communication, and reinforcing a respectful, purpose-driven culture. EXAMPLE OF DUTIES

Collaborate with the Director of Financial Aid to ensure accuracy, efficiency, maintenance, and sustainability concerning the daily operations of the office.Provide excellent customer service to current, former, and prospective students, and all other stakeholders and community members.Presentation skills to convey the university’s mission and financial aid policies persuasively to a variety of individuals including prospective students, families, parents, feeder schools, community advocates, and other relevant stakeholders.Assist in the development, design, revisions, and update of financial aid publications (website, catalogs, and other media) to include but not limited to financial aid applications, forms used for tracking applications, correspondence forms, brochures, manuals, etc.Assist the Director of Financial Aid in preparing and disseminating accurate information to all current and prospective students relative to types of financial aid available, direct and indirect educational costs, and financial aid application procedures.Develops, modifies, implements, and maintains the application intake and tracking process for proper documentation of all awards for audit trail. Must ensure documentation distributed by the Office of Financial Aid is reviewed and updated every year to meet the mission of the institution and meet compliance with all state and federal agencies.Assist the Director of Financial Aid to ensure students complete all required counseling (entrance, exit) as mandated by the Dept. of Education.Assist the Director of Financial Aid to ensure students complete all institutional requirements for loan counseling, and all other financial education and default aversion programs.Provide accurate and timely information (deadlines, scholarship offerings, etc.) and assistance to students, faculty, and various departments within the college.Create and maintain a financial aid status file for each incoming class.Assure compliance with all current regulations and changes to all Title IV programs.Proactively assist prospective students to complete their financial aid files.Work closely with the Admission, Registrar’s, and Business and Finance offices to ensure accurate, timely reporting and sharing of information.Receive incoming calls from the financial aid office.Update financial holds.Provide administrative support (filing, copying, etc.) to the Director of Financial Aid.Commitment to the mission of BCOM in any way correlated to the position and acts as liaison with the community, students, campus, departments, faculty, and staff.Manages a student population determined by the Director. Counsels current and prospective students, as well as their parents, on application procedures, eligibility requirements, federal and institutional policies and procedures, the coordination of financial aid packages with educational expenses, and debt management.Assumes responsibility for the daily operations of the Office of Financial Aid. Provides support for the Office of Enrollment, Office of Student Affairs, and all relevant departments. Processes and disburses quality control reports to staff to ensure we maintain accurate records.All loan processing and reconciliations, including monthly reconciliations of all financial aid funding in coordination with the Business Office.Functional support for the Student Information Management Systems Coordinator, CAMS EnterpriseOther duties as assigned. Other skills important to this position: Thorough knowledge and understanding of the laws, regulations, and guidelines related to student financial assistance.Good understanding of the technical support required for the efficient operation of the programs of the office.Strong oral and written communication skills are required. Strong organizational and planning skills.Exceptional interpersonal skills to work well with potential applicants, advisors, etc.Ability to relate well with a diverse student population and other constituencies, particularly of the Southwestern US and Northern Mexico Border region.Ability to maintain a high energy level and enthusiasm for the College.Ability to respond to difficult situations calmly and with credibility.Respect for and ability to maintain confidentiality.
