We are looking for a person who is comfortable supporting our advisor so that they may create an exceptional client experience for our clients.

Summary of Essential Duties

The Executive Assistant role works closely with firm’s advisor to directly manage all business processing and interfaces with the firm’s clients. This position requires the ability to provide extraordinary client service, prioritize demanding workloads and effectively communicate with all firm team members.

The position also requires the ability to think creatively, strategically, and tactically and identify efficiencies where needed. Organization skills and attention to detail are critical given the nature of financial planning, operational paperwork, processes, and related work, upon which both clients and the team depend.

A successful Executive Assistant will

  • Ensure smooth day-to-day operations and increase operational efficiency of the firm.
  • Provide a model for impeccable client service by creating an environment that fosters teamwork, timeliness, positive attitudes, support of management and support of the firm values and mission.

General Operational Duties

  • Oversee coordination and implementation of firm projects and client facing deliverables.
  • Prepare preliminary agendas for client meetings and complete final review of all meeting materials.
  • Manage some client paperwork processing and client service requests.
  • Supervise prospect follow-up and client related mailings.

Knowledge, Skills & Attributes

  • Series 7 License Preferred, or willingness to obtain
  • Bachelor’s degree or related experience in the financial industry.
  • Minimum of two-three (2-3) years professional services or operations and supporting client experience.
  • Advanced computer skills, including advanced knowledge of the Microsoft Office Suite, internet search and research capabilities.
  • Experience with CMS and CRM software (experience with Microsoft Office Suite, Redtail, FMG Suite, Snappy Kraken, Bento, Jump AI, NetX360 a plus).
  • Strong problem resolution skills with the ability to be detail-oriented and accurate.
  • Ability to manage, cooperate and get along with diverse personalities.
  • Self-motivated with the ability to handle a heavy workload and work both independently and under direction.
  • Effective organizational skills and abilities to be able to maintain and oversee the physical office space, as well as multi-task, follow up and meet deadlines.
  • Exceptional oral, written, and interpersonal communication skills.
  • Uncompromised ability to maintain confidentiality and integrity.
  • Positive attitude and energetic willingness to learn how financial services/markets work.
  • Ability to take direction.
  • Professional appearance and demeanor.

In-office Monday through Friday, 8:00 AM to 5:00 PM. Occasional weekday & weekend client events.

Annualized salary range is $65,000 to $75,000 DOE.

This information reflects a base salary range that Machen Wealth Management reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, and experience.

Offer of employment will be contingent upon satisfactorily clearing background checks. Candidates must be legally authorized to work in the United States to be considered. We are unable to provide visa sponsorship for this position.
